Job management, allocation, prioritization, budgeting

Eclipse provides a comprehensive job management capability. Designed to bring the list of current jobs directly to the service personnel or their management, Eclipse presents its list of jobs in an easy to read format. The operator is able to see selective service personnel, or ALL service personnel, selective clients or ALL clients, and selective status (ie. Open jobs, Jobs on Hold, Completed, etc.). Lists can be sorted with a single click of the mouse, in a variety of orders. Jobs can be viewed in complete detail by double clicking on a job in a list.

Job details including budgeting information, prioritization data, chargeable/non-chargeable status, and link to marketing information to allow management to see how much income marketing campaigns have generated in their business. All labor done to a job is directly associated with it, along with any parts used on the job. Job value and budget left is shown quickly to alert service personnel as they near the budgeted amount for a job. Work descriptions provide a huge amount of room, ensuring that you can convey all information required to the service personnel assigned to the job.

Full billing system

Full billing system is provided with Eclipse. Bills (Invoices) can be generated from a job, or independantly. If a bill is generated from a job, all labor and parts used on that job are clearly shown, along with a seperate 'Labor detail report' showing all work done on the customer's service call. You can add lines of explanation to an invoice, change values at the time of invoicing, etc.

Eclipse also provides a 'Point of Sale' receipting function allowing you to use Eclipse as a front counter system - perfect for workshops or service centers that deal directly with the end customer, and receipt monies for service work. Eclipse allows receipting of monies for jobs, as well as receipting of monies in advance for customers. This provides an easy 'deposit' handling system for service jobs.

If you have a database of standard parts that you use during the provision of service, Eclipse can store and handle this information in its tables. Alternatively if you use parts ad hoc during service, Eclipse will allow you to sell parts to your customer that are 'non-stock' parts. These parts do not have to match Eclipse' parts database to be sold. Parts that are in Eclipse' database will automatically price for you when both invoicing or entering them into service calls, and inventory management facilities are available (ie. quantity on hand, re-order levels, etc.) with Eclipse.

Subcontractor support, including payments owing and remittance advice

We realize that you may use subcontractors as part of providing quality service to your customers. That's just fine with Eclipse. Eclipse provides complete subcontractor support including hourly subcontractor rates. You can see at a glance how much you owe a subcontractor and you can remove jobs that you do not wish to pay for based on work quality. When payments are received, whether they be over the counter in the case of 'point of sale' receipting, or come in the mail later, you can quickly and easily enter them into Eclipse. Eclipse provides many cross-checks for the operator to ensure that monies are correctly allocated to outstanding items. Eclipse supports cash, credit cards, direct debits, and checks. You can also receipt monies from a customer where there is no outstanding item. This is a perfect way to handle deposits for work to be done. There are a large range of power accounting systems on the market that will handle General Ledger, Accounts Receivable, Accounts Payable, etc. So Eclipse partners with them. Eclipse is your service organization's operational system and because it does financial transactions, if you are running a mainstream accounting system, Eclipse can interface with it and transfer journals with your accounting system. This will ensure that you are a running a double-entry, balanced accounting environment.

Eclipse has excellent integration facilities with accounting software including full support of the Quickbooks XML interface available on Quickbooks 2003 systems and later, automatic invoice posting with Sage Line 50. You can have Eclipse automatically post an invoice into your accounting system at the time that it is entered in Eclipse, thereby eliminating double handling and not having to get your techs to be trained on your accounting software. Full Manufacturer RMA Handling

If you are returning parts to manufacturers, and being issed a 'Return Merchandise Authorization' from the manufacturer, and you have either service jobs pending waiting for these repaired items to be returned, or you have your own stock with customers and you need to replenish, Eclipse's inbuilt RMA handling capabilities gives you a complete database of these RMAs and you can track when items are due back in. Completely redundant backup facilities, disk mirroring options and transaction level recovery

As Eclipse Professional is based on 4D Server technology, the benefits of reliable computing is a standard feature of Eclipse Professional. 4D Server allows you to automate the process of backing up a server that is running 24 hours a day, 7 days a week through a scheduled quick backup process. Once backed up, you can set 4D Server up to write all transactions that are handled on the network to a log file. If your server ever was to go down, its easy to recover it. All you do is restore last nites backup, and then have 4D Server automatically 'roll in' the transactions that were entered for the day, and there you have it - back to where you were right up to the time the server went down.

If that's not enough, 4D Server can also support automated mirroring of data to other devices. Database size can be huge with 4D Server as it can create 'spanned' databases, each containing 2GB of data.
