Operating Eclipse is easy. We have gone to great trouble to
focus our attention on simplifying the interface for Eclipse
and ensuring that its use is a positive experience. Yet all
the power of a professional service management system is there.

We
know that service people are busy. So it is important
to be able to do multiple different things at the same
time. Therefore Eclipse has a 'desktop' user interface,
with the abilty to open windows as required. You can
customize how you want your desktop to look (ie. window
sizes, positions, etc.). Any user familiar with products
such as Quickbooks, Microsoft Word, etc. will have no
problem immediately adapting to Eclipse.

The
heart of Eclipse is the management of service jobs.
You can change the terminology to suit the term your
organization uses for jobs (ie. service calls, work
orders, etc.). Technicians and call center operators
love the job listing capabilities of Eclipse, allowing
any user to easily see what is on his or her 'radar'.
Technicians
and management can work this list easily, and can see
at a glance what workload an individual is faced with,
so that they can most effectively organize their schedule.
If
you need to locate a job, its fast and easy. Filter
the list by client, type, status, technician allocated
to the job, or even the product model number that the
job is for. Of course if you know a job number, you
can simply enter it in and go straight to that job.

If
you prefer to see the workload in a schedule, no problem.
Eclipse has a complete 'drag & drop' interface for
this, so that you can not only visualize your team's
workload, but moving a job from one team member to another
or from one day to another is as simple as clicking
on it, and dragging it to the desired position. Its
that easy!

|
|
When
you open a job, you get all the information one one
page. No need to search through multiple pages to find
the information. Its quick and easy. And data entry
is a breeze too. Using artificial intelligence where
possible, we automatically fill in fields for you. For
example, entering a serial number or finding an equipment
asset to be serviced will automatically bring up the
client, site location where it is, service agreement
information, and defaults for call type, priority, etc.
are all populated for you. You simply edit where appropriate,
select one or many technicians to allocate the job to,
and enter in the problem that they have to fix. That's
it. The job is then in the system, and you can optionally
have Eclipse email notifications to all affected parties
- both technicians and the client, confirming the job.
The
job detail screen will also show the work history to
date, including both labor and parts used, along with
any notes that have been captured by the technicians
on the job.
And
that big GREEN light that you see is a visual indicator
to the operator about whether this job is covered by
a service agreement or not. This means that the operator
can advise the customer on the phone about whether the
job is covered, and may wish to either sell a new agreement
to the customer if necessary, or can alert the customer
to the upcoming expiration of an agreement if appropriate.

Eclipse
has a complete knowledge management engine built right
in, and available to operators throughout the use of
the system. This means that a call center or help desk
operator can search for common fixes to problems while
the customer is reporting them, or that a technician
(whether in the office or in the field) has access to
search your knowledge library. You can even give this
capability to customers over the web if required (and
don't worry - you can secure what people can see by
their membership with certain user groups, through the
powerful user security features of Eclipse).
Knowledge
encompasses not only published articles by resolutions
to past work done, or even notes on jobs.
And
Knowledge articles can have file attachments. You can
include video demonstrations, pictures, PDF manuals,
Word documents, spreadsheets, audio files, etc. with
any knowledge base article. We even have the ability
for technicians to create articles in the field via
the web, and to even upload article attachments while
they are in the field, for the rest of the team to leverage.

Client
management is a breeze with Eclipse. You can store a
large amount of information on clients, along with site
details, service history and accounting history. Clients
can be setup to be automatically notified when a job
is entered, via e-mail. Eclipse provides you with the
ability to create an unlimited number of e-mail templates
that can be used for communication. You have total control
over how your clients are communicated with, through
Eclipse.

Complete
asset management is core to Eclipse. If you are responsible
for the 'care and feeding' of client owned assets, eg.
equipment, etc., then Eclipse will not only allow you
to reference the assets during the service call, but
complete service history is stored and retained by the
asset's serial number or asset ID. Even if the equipment
changes hands to another customer, you can simply change
the ownership without losing the service history. What
a great way to get new business, after all you know
the history on that unit!
Asset
management supports complex sub-assembly structures
each with their own serial numbers, and allows you to
create unlimited references (or other IDs, associated
values, etc.) for an asset. For example, if an asset
is a computer system, the powerful Asset References
section allows you to store the serial numbers for various
software components installed, or possibly the monitor's
serial number, etc. Its all searchable in Eclipse too!

Your
technicians will love Eclipse. Not only will you empower
them to manage their schedules better, but entering labor
done on jobs is a breeze. Eclipse includes capabilities
to handle complex charge rate structures for your organization,
easy click to start/click to stop timers for jobs, and

Eclipse
includes complete part and inventory management, including
support for both Last In and Average costing for inventory
valuation. Parts have complete movement history, along
with simple integration with your accounting system.
Part
managers love Eclipse because it puts them in control
of their own inventory, and provides them with easy
ways to manage it including stock counting and batch
entry capabilities.

Technicians
have an easy way to add parts to a job. With powerful
part finders built-in throughout Eclipse, they can quickly
find the correct part they are looking for.
They
can also order parts during the service call entry,
so that parts can be procured quickly by the parts manager
through Eclipse's integrated Purchase Order and Purchase
Requisition system.

Purchase
orders produce professional purchase order documents and
allow for quick ordering and receipting of parts to ensure
that your techs can close out those open service calls
quickly. Of course, Eclipse includes the ability for the
Parts manager to produce re-order reports to allow them
to easily order parts when they fall below certain threshold
levels. |

|
And
when parts are received at your receiving dock, operators
can quickly lookup any purchase orders that are open
and on file for these parts to ensure that they get
allocated to the purchase order and therefore the technician
who needs the parts can be immediately and automatically
notified by email that the parts they have requested
have come in.
At
the same time, the inventory valuations and average
costings are being updated for you without any effort
on your part.

Eclipse
includes complete manufacturer RMA handling. If you are
sending parts back to manufacturers on behalf of your
customers, the inbuilt RMA register will allow you to
stay on top of what is due back from a manufacturer and
supports recording the manufacturer RMA number issued
to you for the job. When RMAs change status (ie. products
are received back in), Eclipse can be set to automatically
notify technicians and/or customers of part availability
as well. |

Invoicing
is a breeze. All information entered from a job, labor
and parts, are retrieved and an invoice automatically
generated. Full support of sales tax/VAT/GST is provided
for many different countries including USA, Canada,
UK and Australia. You can add additional lines to an
invoice, delete lines, modify descriptions, pricing,
add text, etc. You can also receipt monies at the time
of the sale (Point of Sale receipting) allowing you
to run Eclipse as a front counter solution in a busy
service workshop or department.
Invoices
generated look professional and include your scanned
logo, and complete labor details on what work was carried
out on the job.

Using
the powerful data integration capabilities of
Eclipse, you can set Eclipse up to automatically
post invoices over to your favorite accounting
program. which appear as if they were entered
directly in the accounting software but without
any double-entry of data. This gives you two benefits
- your technicians can produce an invoice quickly
without having to involve book-keeping or accounting
staff thereby increasing cashflow, and yet the
management of the client receivables are done
in your accounting system along with General Ledger
integration.
This
gives you a lot of options - but keeps the accounting
and payroll information of your business out of
the reach of your technicians. This is a critical
strategy in your business and protects you from
information theft with your employees. Regardless
of how secure an accounting system may proport
itself to be, technicians are incredibly savvy
technical people and best to keep them distanced
from the accounting - both from a book keeping
validation sense, but also from a security perspective.

Eclipse is flexible. You shouldn't be limited by your
computer system on what you can do. Eclipse allows you
to do as many tasks at the same time through its intuitive
desktop interface. Meaning that you can keep up with the
demand of running a busy service center by maximizing
your administrative productivity. You can be in the middle
of entering work done on a job, when a customer calls
and wants to schedule a new job. Easy - just open the
Jobs again, create a new job and when you are finished,
close the window and there is the work you were doing,
ready for you to continue exactly where you left off! |

How
about accessing Eclipse via the Internet? No problem.
Eclipse gives you the option to add web serving to your
Eclipse database. You host and manage your own data
- no third party services required here. Your technicians
and/or clients can access the exact same relational
database that your office and depot based staff are
seeing - at the same time. There is no delay in seeing
updates via the web in the system. Everyone is sharing
the same database here.
Technicians
get functionality via the web that allows them to manage
their schedules, produce PDF work order documents, enter
labor and parts used, and even create new service calls
remotely. They can also lookup the knowledge database
for resolutions to problems anyway they can get an Internet
connection, on any Javascript enabled web browser.

Clients
can also be allowed into the system if you wish. Clients
can get access to a range of functions to help you extend
your service to them on-line. This encourages 'partnering'
with the client and shows that you a really do want
them to work with you.
As
Eclipse serves basic HTML web pages, you can customize
the look of the pages to suit your web site if you wish.

And
if you need mobility, Eclipse PDA offers you another
way to see your work orders. By using the synchronization
capabilities of either PalmOS4 PDA
devices, you can take your digital data with you. Work
orders, work history, parts, site details, etc. can
all be taken with you, and while you are on the road
you can enter labor done and parts used right into your
PDA.
The
customer can even sign the PDA showing their acceptance
of the work done, so when you synch this back to your
Eclipse system, the digital signature is also captured
and transfered to your Eclipse database. |
